Purpose
The present CAA‑Quebec Privacy Policy (the “Privacy Policy” or the “Policy”) contains important information. Its purpose is primarily to inform you of our rules of governance, our principles and our practices with regard to the protection of Personal Information (as defined below), as well as your rights and obligations with respect to such information.
Application and scope
Automobile et Touring Club du Québec (A.T.C.Q.), operating under the name CAA‑Quebec, and its affiliated companies, namely: Centre de services automobiles du Club automobile du Québec inc. (operating under the name “CAA‑Quebec Vehicle Inspection Centre”), 9099 0383 Québec inc. (operating under the name “Cabinet en assurance de personnes CAA-Québec”), CAA‑Quebec Auto and Home Insurance Inc. (property and casualty insurance agency), Agence de Voyages de l’Automobile et Touring Club du Québec inc. (operating under the name “CAA‑Quebec Travel) and CAA‑Quebec Foundation (collectively, “CAA‑Quebec,” “we,” “us” and “our”) are committed to the protection of the personal information and privacy of every member, customer, prospective customer and other individual (collectively, “you,” “your” and “yourself”) who visits our website www.caaquebec.com and its subdomains (the “Site[s]” or the “Website[s]”), use our mobile applications, subscribe to our email communications, engage in the Rabais Dollars CAA rewards program or any of our other programs, promotions or contests, request information, contact us or communicate with us.
“Personal Information” is information about a natural person that, alone or in combination with other information, could be used, among other things, to identify an individual.
Personal Information includes, but is not limited to, name, mailing address, electronic mail address, telephone number, date of birth (or age). It may also include unique digital identifiers such as a computer’s IP address or a mobile device’s unique identifiers, as well as personal preferences, purchasing habits and histories, credit data, geolocation data, survey data, information regarding products and services purchased, consumed or offered, and data about website traffic and visits to the extent that such data is associated with an individual’s Personal Information.
Personal Information excludes Personal Information that has been anonymized by the removal of potentially identifying details, so that the data cannot be associated with a specific individual. The present Policy applies, in the framework of CAA‑Quebec’s operations, to Personal Information collected, saved, used or communicated by CAA‑Quebec or by its mandataries, agents, subcontractors, suppliers, affiliated automobile clubs and other partners (collectively referred hereinafter as “Partners”) through whom goods and services are rendered on behalf of CAA‑Quebec or who are involved from time to time in programs, promotions or other joint agreements, as well as to Personal Information collected, saved, used or communicated by CAA‑Quebec or by its mandataries, agents, subcontractors, suppliers, affiliated automobile clubs and other partners (collectively referred hereinafter as “Partners”) through whom goods and services are rendered on behalf of CAA‑Quebec or who are involved from time to time in programs, promotions or other joint agreements, as well as any other authorized third parties who may collect, save, use or communicate Personal Information about members and customers to help us better serve them. The present Policy applies to the management of Personal Information regardless of its form, be it verbal, written, electronic or other.
The application of the present Privacy Policy is governed by the requirements of the Act respecting the protection of personal information in the private sector and its related regulations, as well as other applicable legislative provisions and regulations.
CAA‑Quebec has formulated and implemented various guidelines, procedures and practices to ensure the effective application of the present Policy, such as:
procedures intended to safeguard Personal Information and ensure compliance with the present Policy;
procedures governing the receipt and processing of requests for information or complaints;
training provided to employees regarding the protection of personal information; and
appointing a Privacy Officer to ensure compliance with the present Policy and related guidelines and procedures.
Our approach and your consent
CAA‑Quebec adheres to an approach based on consent for the collection, storage, usage and communication of Personal Information. With the exception of instances where consent is not legally required, we establish the purposes for which we collect your Personal Information before or upon collecting it. We are required to ensure that you consent to CAA‑Quebec’s collection, usage and communication of your Personal Information in accordance with the present Policy, as it may be updated or amended over time. As used herein, the term “use” or “usage” also includes the processing, handling and management of Personal Information by CAA‑Quebec.
Where applicable, our members’ files may also include all information concerning associated members, including their Personal Information and details concerning the products, services and information provided to them. When a member’s account includes associated members, each member of this account acknowledges and authorizes CAA‑Quebec to use and communicate the Personal Information contained in this account to the other members of the same account, notably to validate identity, membership status as well as use of and eligibility for program services.
A customer or member may withdraw their consent at all times, subject to legal or contractual restrictions, within a reasonable timeframe. For further information, please refer to the section entitled Your rights and your options.
Objectives of collecting Personal Information
CAA‑Quebec collects, saves, uses and communicates Personal Information to successfully manage and carry out its activities and mission, to ensure the delivery of required goods and services, to administer its programs, as well as for the following purposes:
to proceed with your membership registration or renewal;
to manage and maintain your files and accounts created for our various products, services and programs;
to offer and provide you with the products and services you require or may be interested in;
to process information relative to your purchases and requests for services, as well as the payment processing thereof;
to manage and administer its programs, and ensure that members and customers are granted the appropriate services, discounts and benefits in accordance with the applicable terms;
to manage risk, safety, regulatory compliance, organizational governance and the members’ meeting process;
to proceed with quotations within the framework of calls for proposals;
to communicate with you, respond to your questions, requests for advice, comments or complaints;
to send you communications and offers on our products and services, along with the CAA‑Quebec Magazine;
to verify the identity of members and customers, whenever required, for transactional purposes and to minimize fraud or errors in transaction processing;
to establish your eligibility for our products and services and to verify compliance with any conditions that may apply;
to invite you to events, to organize promotional activities and contests;
to conduct studies, surveys and analyses, to carry out targeting and segmentation, and to compile statistics, especially so as to establish rates, to understand and analyze the interests, needs and preferences of members and customers; to ensure the quality of products and services, conduct internal audits or undertake ongoing improvement activities;
to receive and process employment applications in accordance with the terms of the Careers section;
to develop, design, improve, market and recommend products and services in order to meet the needs and interests of current and prospective members and customers;
to authenticate you on our Websites, social media platforms and mobile applications, and identify your preferences; to analyze their use while improving and personalizing their content;
to perform marketing analysis and targeting, including sending and displaying personalized advertising, further details of which are set out in the Digital Marketing section;
to uphold the safety and protection of individuals and property within our establishments;
to prevent, detect and protect against fraud and attempted fraud schemes;
to carry out investigations and ensure compliance with the Law;
to comply with applicable laws and regulatory requirements; and
to communicate with you regarding any changes to our programs and their operation and to our policies, including the present Policy.
CAA‑Quebec does not collect Personal Information for purposes other than those identified in the present Privacy Policy unless further consent is obtained or as required or permitted by law.
Methods and means of collecting Personal Information
CAA‑Quebec collects Personal Information from members and customers in a variety of ways, including verbally, in writing or electronically, through its Websites and mobile applications, by telephone, mail, email, SMS, chat, through its authorized Partners or otherwise; including, but not limited to, when they:
become members or renew their membership;
request a quote, service or information, or make a purchase, return or payment;
take part in our programs and contests, events, activities or promotional offers, and enjoy discounts or benefits;
subscribe or opt in to receive our newsletters, promotional emails and other communications involving our products, services, promotions or events;
visit our Websites or social media platforms and use our mobile applications or interact with emails and online advertisements. Further details are provided in the Digital Marketing section;
contact, interact or communicate with one of our representatives to submit a request for service, comment, question or complaint. In this respect, as some of our services are provided by telephone, calls may be recorded to ensure the quality of our services and to protect both parties in the event of a disagreement;
participate in one of our surveys or any other customer research;
submit an application for employment; and
visit one of our establishments equipped with video surveillance to ensure the safety of persons, property and infrastructure.
Communication of personal information
Access to Personal Information is limited to groups of CAA‑Quebec employees and Partners specifically authorized by CAA‑Quebec who require such Personal Information for the purposes of their duties.
CAA‑Quebec does not disclose Personal Information for purposes other than those for which it was collected as described herein unless you have given your consent or as permitted by law. Thus, in accordance with the foregoing, CAA‑Quebec may communicate Personal Information to:
any entity within its group or related to CAA‑Quebec and to any joint venture(s) in which CAA‑Quebec participates;
any associate member of the same account; and
third parties collaborating with CAA‑Quebec as mandataries, subcontractors, suppliers or Partners of CAA‑Quebec whose products and services have been retained in accordance with our instructions to perform certain functions on our behalf or on their own behalf where CAA‑Quebec is acting as a sales intermediary (e.g., insurance or travel service providers). We limit the disclosure of your Personal Information to such third parties to that which is reasonably necessary for these purposes or for the supply of products and the provision of services for which the third party was retained. We use contractual and other reasonable means to provide a level of protection that is comparable to ours while the information is being handled by such third parties. We do not authorize our Partners to use or share Personal Information for their own commercial or other purposes. Some of them may be located outside Quebec or in other countries and, as such, your Personal Information may be saved or used outside Quebec. Our Partners may release information in response to valid requests from governments, regulators, courts and law enforcement authorities in those jurisdictions, in accordance with applicable legislation in those jurisdictions or countries.
CAA‑Quebec may also communicate or transfer your Personal Information where reasonably necessary in the context of a financing, sale, merger, reorganization or amalgamation of all or part of its business. In any such case, the recipient parties will be contractually bound to ensure the confidentiality of the Personal Information and to use it only in the context of the transaction, or proposed transaction, in question. In the event a business transaction is completed, assignees or successors of the organization or its assets may use and disclose your Personal Information as obtained from CAA‑Quebec only for the purposes set out herein, unless your consent to use it for other purposes is given.
CAA‑Quebec is also authorized to communicate your Personal Information with third parties as required or permitted by law, such as in the following situations:
to government bodies and law enforcement agencies, pursuant to a mandate, order or statutory provision;
in connection with any current or potential legal proceedings involving CAA‑Quebec or in which you are involved; and
to otherwise establish, exercise or defend its legal rights, collection procedures (including when providing information to third parties for the purposes of fraud prevention and credit risk reduction), to the extent permitted by law.
CAA‑Quebec reserves the right to report illegal or dishonest activities committed by website users, customers or members, which may require the disclosure of Personal Information relating to that person to the authorities in charge of managing fraud and illegal activities.
From time to time, CAA‑Quebec may also disclose to third parties aggregated, de-identified or anonymized data, which does not contain Personal Information or other information regarding identifiable individuals.
CAA‑Quebec does not share your Personal Information with any third-party promotional partner other than those referred to in this section, unless you have consented to its disclosure to such third party for a specific purpose. CAA‑Quebec does not sell its customer and member lists.
Safeguarding Personal Information
CAA‑Quebec safeguards Personal Information only for the period required by law or useful for the identified purposes. Protection is ensured through the implementation of physical and organizational security measures, adapted to the nature of each piece of Personal Information.
We establish retention criteria based on the type of Personal Information collected. CAA‑Quebec establishes controls, schedules and practices with respect to the retention and destruction of Personal Information and files when they are no longer needed for the identified purposes or required by law. Note that, in some cases, CAA‑Quebec may retain some of your Personal Information for a reasonable period of time for legal, administrative, governance or compliance purposes and that some files containing Personal Information may be de-identified and thus retained.
As indicated in the section entitled Your rights and your options, you may request the deletion of your Personal Information. Once the objectives have been achieved and the Personal Information is no longer relevant, or if the person concerned asks us to delete it, we destroy it or ensure that it is anonymized, except where prohibited by law.
Security
CAA‑Quebec takes reasonable measures, in line with industry standards, to protect Personal Information and uses security measures commensurate with its level of sensitivity. In addition, CAA‑Quebec implements and maintains technological, physical and contractual security measures designed to protect Personal Information against loss or theft, as well as unauthorized access, disclosure, copying, use or modification, by means of safeguards commensurate with the sensitivity of such Personal Information.
All persons authorized by CAA‑Quebec who have access to Personal Information must observe its confidentiality. With respect to credit card transactions, CAA‑Quebec complies with PCI DSS (Payment Card Industry Data Security Standard).
CAA‑Quebec understands the importance of protecting Personal Information and uses Internet security protocols to protect data collected over the Internet. However, members and customers should keep in mind that the Internet is not a secure channel of communication. Consequently, CAA‑Quebec makes no representation or warranty as to the absolute security of Personal Information provided to CAA‑Quebec via the Internet. In view of the foregoing, members and customers acknowledge that they provide such Personal Information to CAA‑Quebec with full understanding of such risks.
Links or redirections to third-party applications or websites
Our Websites and applications may contain links or redirections to the websites of Partners, advertisers, and other third-party businesses. As such, by clicking on these links or by navigating in the sections identified below, you are leaving CAA‑Quebec’s Websites. CAA‑Quebec does neither control the operation of these websites nor the manner in which your data and Personal Information are collected, held, used or communicated when visiting them. In no event shall CAA‑Quebec be deemed liable for any redirection or link to any third-party websites contained on CAA‑Quebec Websites. We are not responsible for the confidentiality or privacy practices, or the content of any websites other than our own Websites. You should therefore review the privacy policies of these third-party websites and mobile applications before deciding to provide your Personal Information to them. Accordingly, when products and services are offered by an entity other than CAA‑Quebec, it is your responsibility to review that entity’s privacy policy before choosing to provide them with your Personal Information. Please note that in the case of certain services offered by our Partners, particularly in the area of insurance, specific rules govern the collection, storage, usage and communication of your Personal Information. It is your duty to inquire with these Partners about the way in which your Personal Information is handled and processed.

Data collected during use of mobile applications
Some of our mobile applications offer membership, geolocation and notification services. Geolocation services provide location-based content and services, promotional offers and other personalized content. Notifications may include discounts, reminders or details about local promotions or events. If you consent to location-based services, CAA‑Quebec may collect information about your location. You can disable location-based services or notifications on most mobile devices, however some features of our applications may no longer work properly.
Information provided through social media
CAA‑Quebec uses social media (Facebook, Instagram, Pinterest, Snapchat, LinkedIn, TikTok and X [formerly Twitter]) as an extension of its Internet presence. Social media accounts for businesses are public. Users who choose to interact through social media should read the terms of use as well as the privacy and confidentiality policies of these platforms in order to know how their Personal Information is being used. In addition, the terms of use relating to marketing services of each of these social media (including audience creation, see below) are subject to their respective privacy policies. As part of such marketing services, these social media may use your Personal Information collected for their own purposes. As such their usage of your Personal Information is not necessarily related to CAA‑Quebec's marketing activities.
Please note that since any content posted on one of our social media platforms is subject to public viewing, it is best to exercise caution when providing or communicating certain Personal Information.
CAA‑Quebec may offer you access to content or discussion forums through social media platforms, in which case, depending on your account(s) settings, you may allow us to access certain Personal Information associated with your social media account. CAA‑Quebec may also collect the date and time you visited the page for sharing purposes. CAA‑Quebec may use this information to validate your identity and personalize your experience. We may also use services provided by social media platforms to display targeted advertisements intended for users of such platforms. Further details are provided in the Digital Marketing section.
Employment section
The Personal Information you provide to us during the recruitment process will be used and retained to assess your qualifications for the position and to carry out validations. Access to this Personal Information will be limited to CAA‑Quebec personnel and its authorized mandataries who require such access. It may also be used to determine your suitability for any other position available within CAA‑Quebec. CAA‑Quebec ensures that the Personal Information thereby collected remains confidential and is used solely as part of a selection and, if applicable, hiring process. If you submit an application for employment with CAA‑Quebec through a recruitment website, you will need to create an account on a third-party platform that will facilitate the processing of your application and to give your consent to the collection of your Personal Information. You will be bound by the privacy policy and terms of use of the third-party platform, as well as by CAA‑Quebec’s Privacy Policy when processing your Personal Information for recruitment purposes. Once an employee has been hired, their data is retained and used to manage the employee’s file throughout its lifecycle. You may consult or request changes to your Personal Information whensoever by contacting CAA‑Quebec’s Human Capital Department.
Personal information concerning children under 14 years of age
CAA‑Quebec does not knowingly collect Personal Information concerning children without the express consent of their parents or legal guardians. Any form or request for information pertaining to a child under 14 years of age must be duly completed by the child’s parent or guardian, who must provide their consent for CAA‑Quebec to collect Personal Information concerning the minor.
Digital marketing
Email communications and advertising targeting
CAA-Quebec undertakes to manage email addresses responsibly and to use them in accordance with the law. Thus, on the basis of the express consent you have given us, or on the basis of tacit consent based on the existence of an ongoing business relationship, CAA-Quebec may send you promotional messages by email, unless you indicate otherwise.
CAA-Quebec may also use your email address for the purposes of digital advertising targeting and audience creation on the Web and on social media, the details of which are set out in the Interest-based advertising section.
You may remove your name from our mailing list at all time by following the unsubscribe link located at the bottom of every CAA-Quebec email. CAA-Quebec will then remove your name from its electronic mailing lists as quickly as possible following receipt of your written request. You can also update your communication preferences in the connected-space/manage-my-communication-preferences section of our Website.
Please note that even when you choose to unsubscribe from our commercial messages, certain specific situations, such as billing or information related to your membership, allow us to send you emails, all in accordance with the exceptions provided for by the law.
Cookies and tracking technologies
Our Websites display a cookie consent banner to collect your meaningful consent or your refusal for each specific purposes of processing when you visit them.
Therefore, when you visit our Websites and social media platforms or use one of our mobile applications, we may use certain automated tools such as: “Cookies,” (as defined in the Appendix section), “Tracking Codes and Pixel Tags” (as defined in the Appendix section), browser analysis tools, server logs and web beacons aimed at creating a more personalized browsing experience for you, better understanding your needs, tracking trends, personalizing our marketing initiatives and providing you with the content that is most relevant to you. We may also use third-party services to collect and analyze information about areas visited on websites (such as the pages most viewed, time spent, search terms and other engagement data) in order to evaluate and improve the user experience and convenience of the Website.
We use Google consent mode which allows us to communicate users’ cookies or application identifier consent status to Google. If you refuse the use of cookies and/or pixels, your Personal Information will not be collected. However, for analytical and advertising purposes, aggregated non-identifying information will be generated for each interaction with the website by Google, in particular the number of visitors to a page.
In general, you can visit our Website without revealing your identity or submitting any Personal Information. However, through the automated means outlined above and other technologies, we collect the IP (Internet Protocol) addresses of all visitors to our Website and other related information such as page requests, browser type, operating system and average time spent on our Website. We collect similar information regarding the use of our mobile applications. We use such information to understand user activity on our Website, to provide you with tailored content, and to monitor and improve our Website and mobile applications.

Interest-based advertising and audience creation
General
Our objective is to ensure that our advertising reflects the needs of our members and customers. We collaborate with certain service providers to promote our products and services that reflect your interests and needs, and also leverage navigational data collected via Cookies or Tracking Codes to streamline your overall experience on our Website. To that end, we may transmit this browsing data to third parties, such as advertising networks and other advertising companies that use their own tracking technologies (including Cookies and Pixel Tags) on our Website and applications, but also other websites and applications in order to provide you with personalized advertisements on our behalf on third-party websites. The main service providers that are involved in targeted advertising by CAA-Quebec are Google, Bing, Facebook, Instagram, Pinterest, SnapChat, LinkedIn, TikTok and X (formerly Twitter). These companies may collect information about your activities on your various devices, on our Website and applications, as well as on third-party sites and applications (such as the web pages you visit and your interactions with our advertising and other communications, such as emails) and then use such information with the aim of predicting your preferences, developing personalized content and displaying ads deemed relevant to you on third-party websites and applications. This is referred to as “interest-based advertising.” This information may also be used to assess the effectiveness of our online advertising campaigns.
Audience creation
We also use the custom audience services of social media platforms such as Facebook, Instagram, Pinterest, SnapChat, LinkedIn, and X (formerly Twiter) as well as advertising audience services such as Quebecor, Google or Bing, who send targeted advertising to users on these platforms or on third-party websites on the basis of custom audiences created by a process of matching similar profiles. To achieve this, we upload “hashed” (i.e. encrypted) lists of email addresses to these providers’ platforms, which are then compared with hashed data generated from their own data that could match your profile on that platform. Data hashing is a security measure designed to protect the personal data transmitted. You may restrict this targeting by modifying your advertising preferences on each of these social or advertising platforms. If you wish to decline or withdraw your consent to the use of your email address for custom audience targeting, please fill this form. By withdrawing your consent, you may occasionally be offered products or services that you already own, and may still see advertisements from us. However, any such advertisements will no longer be targeted to your use in the manner described in this paragraph.
Please note that even if you opt out of personalized advertising by a third party, tracking technologies may still collect data for other purposes, including data analysis, and you may still see advertisements from us. However, these advertisements will not be targeted based on behavioural information about you and may therefore not be as relevant to you and your interests.
Use of targeting data made available by digital marketing service providers
We may also use services provided by third-party platforms (including Facebook, Instagram, Pinterest, LinkedIn, X [formerly Twitter], Google, Bing, TikTok, SnapChat and other third-party websites) to display targeted advertisements to users of such platforms, on the basis of user data collected by the operators of these platforms. In general, the way you receive advertisements on these platforms is governed by the privacy policy, terms of use and preference settings provided by the provider of the platform in question. Occasionally, we may also use third-party platforms to offer users advertising that is more personalized, based on both user data from the platform and interactions with CAA-Quebec outside the platform. For instance, we might display a specific message to persons included in a targeting available on the Google platform (for example, those with an interest in travel) and cross-reference it with browsing data collected by CAA-Quebec (for example, those who have visited a travel-related content page on the CAA-Quebec Website).
Web analytics
Web analytics involves the collection and analysis of data concerning web traffic and website visits.
CAA-Quebec uses analytical tools from Google Inc. and other tools in order to analyze the browsing behaviour of visitors to its Sites and to understand the allocation and impact of traffic sources.
When your computer or any other device requests access to a page on our Websites, the information collected for web analytics purposes includes, but is not limited to:
the originating IP address (the storage and retention format does not allow the identification of visitors);
the Google Advertising ID (GAID) and Apple Identifier for Advertisers (IDFA) for mobile application users;
the date and time of the visit;
the type of browser and operating system used; and
the page(s) visited and the document(s) downloaded.
This requires the use of digital markers (that is, “session” and “persistent” Cookies). No personally identifying information is saved by service providers or otherwise provided to them. Your IP address is de-identified (truncated in whole or in part) before being transmitted to and saved on Google’s servers in order to protect your Personal Information.
Data collected for web analytics may be aggregated and used by CAA-Quebec for the purposes of statistics, analysis and targeting of needs and behaviours, verification, assessment, research, planning and report generation. This information is made available only to web managers and other employees who are required to use it in the course of their duties.

Accuracy of information
CAA‑Quebec takes reasonable steps to ensure that the Personal Information we collect is accurate and complete. We update our records on members and customers based on the information they share with us or that is communicated to us by our Partners, where applicable. As such, to ensure that our records are as complete, accurate and up-to-date as possible, you are responsible for informing CAA‑Quebec of any relevant changes to your Personal Information, such as a change of name, address or other contact information.
Your rights and your options
CAA‑Quebec provides you with various options which allow you to exercise your rights and/or specify certain preferences with respect to the use of your Personal Information it holds about you.
Access, verification, rectification and deletion of Personal Information in our possession
Insofar as CAA‑Quebec retains Personal Information about you, except where prohibited by law, you have the right to: (i) verify the Personal Information held about you by CAA‑Quebec; (ii) request that your Personal Information be rectified or updated; and (iii) withdraw your consent to the use of your Personal Information by CAA‑Quebec and have your Personal Information deleted from our records. Should you wish to know or verify the Personal Information CAA‑Quebec holds about you, rectify it or have it permanently and entirely deleted from our records, please contact us using the contact information provided in the Privacy Officer – Contact Us section below.
Please note that, in an effort to prevent fraudulent or unauthorized access requests, we may require you to identify yourself and provide proof of identity.
Upon receipt of such a request, CAA‑Quebec undertakes to respond in a timely manner. If CAA‑Quebec is unable to provide access to all the Personal Information it holds about you, the reasons why shall be communicated to you. You may also request the deletion of your Personal Information, subject to legal and contractual restrictions; however, please note that the deletion of certain information may affect our ability to provide you with certain services. Should you request the deletion of your Personal Information, CAA‑Quebec reserves the right to retain some of it for a reasonable period of time in order to meet its legal obligations.

Changes and updates to the policy
We may make changes and updates to this Policy from time to time to comply with applicable laws and to ensure that it accurately reflects our privacy practices. CAA‑Quebec may therefore revise the present Privacy Policy whensoever, in accordance with the development of its activities, the availability of new technologies or the introduction of new products, services, programs or features, without prior notice.
Any changes to this Policy shall be posted on our Websites. Whenever we make changes to the present Policy, we revise the date of the last update displayed at the end of the document.
